- This README file is in DOS text format and is 4 pages long.

- Time and Billing lets you track client and billing information
- for an accountant, attorney, engineer, or other professional, or
- for an entire firm. The database adds the cost of total services
- for each client and lets you print invoices.

- For information on deleting the sample data in TIMEBILL, see the
- file titled README.APP.

- You may copy and modify this database for your own or your
- company's use. You may not copy the database and resell it.
- Please be aware that while WordPerfect Corporation provides
- support on DataPerfect questions, only limited support is
- available for these predefined databases. No support is
- available for the databases if they have been modified.

- PANELS
- Time and Billing contains seven panels. The main panel, Client
- Information, gives you direct or indirect access to the six
- subpanels.

- As you tab through each field in a panel, a help message at the
- top of the screen explains what to do while in that field. Press
- Help (F3) twice for further information about the field.

- CLIENT INFORMATION
- Type the client name and address. The Client Number field
- is self-numbering so each record will be unique. You can
- view billing information for the client in this panel.
- Panel links let you access the Matter Information and
- Comments panels.

- MATTER INFORMATION
- If you are going to type information into this panel, you
- should access it through the Client Information panel link
- so that all records in this panel will have the
- corresponding client's name and number. Type the matter
- number and description (parking ticket, will, blueprint, and
- so on) in the Description field. This panel also displays
- the balance due for this matter. Panel links let you access
- the Time, Expenses, and Payments panels.

- COMMENTS
- If you are going to type information into this panel, you
- should access it through the Client Information panel link
- so that all records in this panel will have the
- corresponding client's name and number. Each Comments
- record is self-numbering. Enter any comments on the client
- or matter in the Comments text field.

- TIME
- If you are going to type information into this panel, you
- should access it through the Matter Information panel link
- so that all corresponding records in this panel will have
- the correct client and matter number. Use military time
- (24-hour clock) to record information in the Beginning Time
- and Ending time fields. Enter the billing rate in the
- Billing Rate field and add a short description of the job in
- the Description field.

- EXPENSES
- For each expense charged to the client, create a separate
- record in Expenses. Access Expenses through the Matter
- Information panel so the records will all have the correct
- client name and number. Type the amount of the expense in
- the Amount field. Type the date in the Date field if it
- should be anything other than today's date.

- Select the type of expense from the lookup list in the Type
- field. Type any explanatory information in the Description
- text field.

- EXPENSE TYPES
- Type the kind of expense (phone call, rental car, and so
- on).

- PAYMENTS
- For each payment received from the client, create a separate
- record in Payments. Access Payments through the Matter
- Information panel link so the records will all have the
- correct client name and number and the correct matter
- number. Type the amount of the payment in the Amount field
- and the date payment was received if it is other than
- today's date.

- REPORTS
- Time and Billing provides an invoice report in addition to Built-
- In Short Reports. Using DPPrint when running reports is
- recommended. For more information about DPPrint, see Appendix L:
- Utilities--DPPrint in DataPerfect Reference.

- When you run the report, it prompts for the invoice date and
- prints invoices for all clients that owe money, showing charges
- for services and expenses, payments received, and balance due.

- If you want to print out a single invoice or a select group of
- invoices, you can specify search conditions. To find out more
- about specifying search conditions, see Report, Built-In Short
- (Menu Options) in DataPerfect Reference.

- USING THE DATABASE
- When the individual or firm accepts a new client, create a new
- record containing all necessary information in the Client
- Information panel. Access the Matter Information panel through
- the panel link and create a new record and description for each
- matter.

- From the Matter Information panel, access and complete records in
- the Time, Expenses, and Payments panels.

- You can enter all the usual expense types for your firm in the
- Expense Types panel all at once by accessing Expense Types
- directly and creating a new record for each type or you can enter
- types as you enter information about clients in the Expenses
- panel. If you enter an unlisted expense type in the Type field
- of the Expenses panel, the data link will recognize an unfamiliar
- type and DataPerfect will prompt you to create a record for the
- new type.

- As payments arrive from clients, access the appropriate Payments
- record for the client through the Matter Information panel and
- enter the amount of the payment there in the Payments panel.

- At the end of a billing period, run the Invoices report to get
- billing statements for that period.

- FORMULAS AND KEEP-A-TOTALS
- This database contains several formulas and keep-a-totals.

- CLIENT INFORMATION
- If there is a balance due and the last payment date was over
- thirty days ago, the formula in the Delinquent field
- displays a Y and the # Days field displays a number
- representing the number of days payment is overdue.

- COMMENTS
- The Name field formula displays the client name entered in
- the Client Information panel.

- MATTER INFORMATION
- The Name field formula displays the client name entered in
- the Client Information panel.

- The formula on the Total Charges field adds total time and
- total expenses to determine to the total charges.
-
- The formula on the Balance Due field subtracts payments from
- total charges to determine the balance due.
-
- The Balance Due field keeps a total to the Balance Due field
- in the Client Information panel.

- TIME
- The Elapsed Time field formula subtracts Ending Time from
- Beginning time to determine elapsed time.

- The Amount Due formula multiplies the value in Elapsed Time
- by the value in Billing Rate to determine the amount of
- money due.

- The Date field formula displays the current date. You can
- change the date displayed by typing in a new date.

- The Amount Due field keeps a total to the Total Time field
- in the Matter Information panel.

- EXPENSES
- The Name field formula displays the client name in the
- Matter Information panel.

- The Date field formula displays the current date, which can
- be changed.
-
- The Amount field keep-a-total calculates and displays total
- expenses for this matter in the Balance Due Field in the
- Matter Information panel.

- PAYMENTS
- The Name field formula displays the client name in the
- Matter Information panel.

- The Date field formula displays the current date, which can
- be changed.
-
- The Amount field keep-a-total calculates and displays total
- payments for this client in the Total Payments field in the
- Matter Information panel.
